Trip Planner

The World Congress is scheduled from Friday 19 July to Monday 29 July, 2024

18 July is recommended for arrivals in Palangka Raya and 30 July for departures. Please keep in mind that depending on your flights, you may require a layover in Jakarta or Surabaya before arriving in Kalimantan.

The World Congress registration desk will open on 18 July and the opening ceremony will be held on the evening of 19 July 2024. Please also see the Congress Calendar in the programme section

As this congress requires substantial planning and preparation, we kindly encourage all interested Subud members to register as soon as possible so that the WCOT can make adequate arrangements.

JAKARTA SOEKARNO-HATTA INTERNATIONAL AIRPORT SERVICES MANY INTERNATIONAL ROUTES ON A DAILY BASIS:

Getting to Kalimantan

  • Tjilik Riwut (PKY) is the airport in Palangka Raya that Subud members must arrive at to attend the World Congress. This airport only offers direct domestic flights from two cities - Jakarta (1hr 45min flight) and Surabaya (1hr 15min flight).

Currently, there are four airlines covering the routes that connect Jakarta and Surabaya with Palangka Raya, providing 8 flights per day and transporting an average of 1,300 passengers. These airlines are: Garuda, Citilink, Batik Air and Lion Air.

Please note that the WCOT recommends travellers book their domestic flights to Palangka Raya via Jakarta. This is due to the limited number of daily flights that service the route between Surabaya and Palangka Raya.

  • When booking your long-haul flight to Indonesia, consider trying to book it all the way through to Palangka Raya. Major airlines should be able to do this for you, and it will simplify your travel. However, try to ensure that your booking does not involve an overnight stay in Jakarta, if possible.

If booking through to PKY is not practical for some reason, the WCOT recommends that Subud members book their local flights with the professional travel agency below (owned by a Subud member):

Contact name: Ibu Dian (Ibu Dian is fluent in both English and Bahasa Indonesia)

Agency name: PT. Pelangi Dian Wisata

    Phone/WhatsApp: +62 812 8830 8697

    Email: dian.pdw091219@gmail.com

Payment options: Bank transfer, credit card, Wise transfers

Should you wish to proceed with booking Indonesian domestic flights yourself, there are a number of travel websites such as Agoda, Traveloka, and Booking. com, or you can book directly with the airlines.

Please note that once you have confirmed your participation in the World Congress, the WCOT advises members to book flights as soon as possible. Prices are typically subject to fluctuations and seat availability may also be limited. It would be ideal to book at least three months before the scheduled flight.

  • There is a comprehensive range of comfortable and economical accommodation options near both Jakarta and Surabaya airports. The WCOT recommends that Subud members stay at hotels close to the airport to minimise the risk of traffic delays. The WCOT will not be providing pickup services to and from Jakarta and Surabaya Airports.

Taxis are a readily available and reliable mode of transport within Jakarta, Surabaya and Palangka Raya. It is recommended that Congress attendees choose taxis that have a taximeter installed. The best-known taxi service in Indonesia is the Blue Bird Group, which also offers luxury ranges from Blue Bird, Silver Bird and Golden Bird.

  • The WCOT will provide airport shuttle services from Palangka Raya airport to all recommended hotels (detailed in the accommodation page) on:

    ♦ 17 July (all flights)

    ♦ 18 July (all flights)

♦ 19 July (only morning flights arriving no later than 12.30pm local time)

If members arrive at the Palangka Raya airport outside of the above mentioned days, you will have to organise transport to your hotel with a taxi, which costs between Rp. 100,000 - 300,000 (USD $6 - $20) depending on the destination, or your hotel may offer an airport shuttle service.

Shuttle services to the airport will also be available for participants who depart on 30th and 31st July.

Please return to your registration form to input your accommodation and local flight schedule once booked to ensure we include you in the airport shuttle service.

  • E-VISA & VISAS ON ARRIVAL

People from 86 countries are eligible for an Indonesian e-Visa (for full list, see official website linked below).

This visa costs Rp 500.000 (about USD $35) and provides a valid stay of up to 30 days, with the ability to extend for a further 30 days.

It is recommended that commercial websites are avoided when applying for e-Visas as these often charge high prices. Instead, please use the official Indonesian website and receive your visa digitally: https://molina.imigrasi.go.id/

A Visa on Arrival (VoA) is also available, which costs Rp 500,000 (about USD $35). If using foreign currency, it is recommended that visitors bring newer bills if possible. This visa can be extended for one month. For a list of VoA eligible countries, please see here.

ASEAN member countries are exempt from visa requirements. Standard immigration checks, such as a return ticket, sufficient budget, and itinerary, are often inspected before boarding flights to Indonesia or in the first port of entry.

  • For visitors travelling from countries that are not eligible for e-Visas and VoA’s, please consult with the Indonesian embassy or consulate in your country regarding visa requirements and travel restrictions.

In the case that an invitation letter is required, the WCOT is able to provide these upon request, should the circumstance be suitable. Please contact our congress office at office.wcot2024@subud.org.

  • WELLNESS AND HEALTH RECOMMENDATION

Palangka Raya does not have the same healthcare resources or accessibility infrastructure that may be found in Western cities. Moreover, the tropical location of Kalimantan, with its heat and humidity, can heighten the possibility of illness and disease. It is for these reasons that the WCOT cannot encourage the attendance of participants with delicate health conditions or who require specialised medical attention.

    FIRST AID AND MEDICAL PROVISIONS

It is important to note that due to the hot, humid conditions found within Kalimantan, the risk of heat exhaustion, dehydration, infection, fever, and disease is significantly heightened. It is highly encouraged that all Subud members take the necessary precautions to mitigate against these risks. This includes remaining indoors during the hottest hours of the day, staying hydrated, using mosquito repellent during appropriate hours, and attending to open wounds as soon as they occur.

The WCOT will have designated health stations placed at each of the Congress venues to treat minor health ailments. These stations may include resources for rehydration and wound care. It is important to note that although there are local health clinics and general practitioners throughout Palangka Raya, people may need to fly to Bali or Jakarta for acute medical treatment.

Items that may be commonplace in other countries, but that are not typically available in Palangka Raya, include homoeopathic medicines, Bach Flower remedies and any other alternative medicine treatments, as well as natural insect repellent. Conventional medicines can typically be bought at chemists or prescribed by doctors in Palangka Raya.

    TRAVEL & HEALTH INSURANCE

Before visiting Kalimantan, it is recommended that Subud members obtain health and accident insurance for travellers that includes coverage for emergency evacuation.

Arriving in Kalimantan

  • SWISS-BELHOTEL DANUM

The Swiss-Belhotel Danum is a branch of the international chain of Swiss-Belhotels. This 4-star hotel is conveniently located 25 minutes from the airport and 45 minutes from Rungan Sari.

With its open, relaxed and tranquil resort ambiance, this hotel has been chosen as one of the venues to host the World Congress - specifically, the first five days, and final two days of the programme. The hotel contains a total of 150 rooms for accommodation, as well as a comprehensive suite of business meeting spaces and a large ballroom.

    RUNGAN SARI

Rungan Sari has been chosen to host the World Congress from the sixth to the ninth day of the programme.

With a history spanning back to its first enterprises in the 1980s, and the first constructions in the late 1990s, Rungan Sari is the living example of Bapak’s advice and receivings, which were that Kalimantan should be a centre for Subud’s enterprises and projects.

Within Rungan Sari there is a meeting centre and resort, two latihan halls and a significant number of enterprises and projects that continue to influence the local area. Rungan Sari and its surroundings are home to over 150 Subud residents and a sizeable Subud group.

  • PALANGKA RAYA

The WCOT has curated a selection of hotels that participants can choose from and for which a transportation service will be provided to and from the congress venues.

These have been chosen for their quality, amenities, convenience, and ability to cater for the diverse needs of all attendees.

It is important to note that the programme will take place in two different venues: the Swiss-Belhotel for five days, followed by four days at Rungan Sari (located 31 km north of the Swiss-Belhotel, approximately 45 minutes by bus), and the final two days will be back in the Swiss-Belhotel.

The WCOT has secured a favourable mark-down on prices for the below designated hotels. The complete list of options and prices is available on this website.

The Congress Accommodation Team (CAT) suggests that interested Subud members book their accommodation as soon as possible, given hotel capacities are limited. The WCOT have been awarded an exclusivity period along with special prices, but these will only hold for a short time, after which prices will increase back to their market rate.

You will need to complete your registration before booking your hotel as you will require the registration confirmation number to complete your accommodation booking.

    RUNGAN SARI

Many Subud members will stay in Rungan Sari at the Rungan Sari Resort, the private houses, Borneo Football Dorms, and other nearby facilities. Although these and other additional accommodation options may be available, the WCOT is not involved in the booking process of these options and they must be arranged separately by Subud members directly with these facilities.

A transportation service will be provided from Rungan Sari to the Swiss-Belhotel venue.

  • Palangka Raya has no intra-city transportation such as buses and trams.

Most residents and visitors rely on private transportation or taxis to move around the city. The WCOT will be providing buses and vans to shuttle congress participants between designated hotels to the event venues at the beginning and end of the day.

We are also looking at the option of adding an additional circulation in the middle of the day.

Due to resource constraints, we are not able to offer transportation to all areas, only to the designated accommodation options detailed here.

However, other transportation options such as private drivers are available should you prefer to arrange these separately.

Indonesia also has two reliable ride-share / ridehailing apps that generally operate throughout all major cities - Grab and GoJek.

Both Grab and GoJek are available in Palangka Raya and can be installed on your mobile phones via Google Play Store and Apple Store, provided you have a local SIM card.

Please note that availability of drivers is limited in Palangka Raya. You can also ask your hotel reception for recommendations on transportation options.

  • The WCOT has negotiated with vendors to ensure meals are available onsite throughout the duration of the Congress for members who select the meal plan.

The WCOT recommends that Subud members elect to purchase this meal plan, as cafes and restaurants that are within walking distance of the venue are limited in number and capacity.

    MEAL PLANS

The comprehensive daily meal plan for lunch and dinner is available for purchase during the registration process (breakfast should be included in each visitor’s hotel accommodation or must be arranged separately).

The cost for the Swiss-Belhotel meal plan is $140 and the Rungan Sari meal plan is $80 (averaging $20 per day for both meals). Meals will be served in the form of a buffet and will include vegetarian options, however no other alternative meal options will be available.

Meals cannot be purchased per day. There will be no partial packages available.

Please note that meals at the Swiss-Belhotel and Rungan Sari venues must be pre-ordered. These meal plan options will not be available for purchase on the days of the congress.

There will also be food available for purchase onsite from local vendors, both in Rungan Sari as well as in Swiss-Belhotel, but options may be limited.

    SPECIAL DIETARY REQUIREMENTS

Due to local and resource constraints, we are unable to offer any meals for special dietary requirements as we cannot guarantee that any of the food vendors available to us at this time will be able to deliver this adequately.

As such, should you or any members of your party have allergies or require any special dietary considerations, we recommend that you do not purchase the meal plan and instead personally organise your own meals.

  • To any of our Subud members requiring accessibility support, we would like to be very transparent and acknowledge that Kalimantan will not be able to suitably host you at this time.

Accessibility features or options such as wheelchair-friendly buildings, ramps, etc. are simply not available.
